Who we are

Melstream HR Inc ("Melstream", "we", "I") is a Canadian human resources consulting business operating at melstreamhr.ca. For questions about this policy or about your information, write to hello@melstreamhr.ca.

What we collect, and when

We only collect what you type into a form. There is no account to create and nothing is collected in the background beyond what's described under "Where it's stored" below.

When you book a clarity call: your name, email, company name, team size, and what you're dealing with.
When you request the free First 90 Days guide: your email.
When you buy a toolkit: your name and email, captured before you're sent to our payment processor. Your card details never touch this website — see "Payments" below.
When you ask for a checkout link: your name, email, and which package you'd like.
Alongside any of the above: if you arrived from a link that carried campaign tags (utm_source, utm_medium, utm_campaign and similar), those tags are stored with your enquiry so we know which channel brought you.

Every form also includes a hidden field that real people never see or fill in. It exists only to catch automated spam submissions. If it's filled in, the submission is discarded.

Why we collect it

To reply to you, send what you asked for, and deliver anything you've purchased.
To send occasional emails about HR topics, if you asked for them. Every one of those has an unsubscribe link, and unsubscribing takes effect promptly.
To understand which channels bring genuine enquiries.

We do not sell your personal information, and we do not share it for anyone else's marketing.

Where it's stored, and who else sees it

Your information is stored on this website's server and with the following service providers, each of which sees only what it needs to do its job:

MailerLite — our email platform. It holds your name, email, and the details you gave on the form, so we can reply and send what you asked for.
Stripe — our payment processor. When you buy, you're taken to Stripe's own secure checkout. Stripe handles your payment details under its own privacy policy; we never see or store your card number.
Calendly — used to book calls. If you book one, Calendly collects the details you enter there under its own privacy policy.
Google Fonts — the site loads its typefaces from Google, which means Google receives your IP address when a page loads. No form data is involved.
Our web host — keeps standard server logs, and a copy of form submissions on the server as a backup in case the email platform is unreachable.

Some of these providers store data outside Canada, including in the United States. That means the information may be subject to the laws of those countries.

Analytics and advertising

As of the date above, this website runs no analytics and no advertising trackers. Code for Google Analytics, the Meta pixel and Microsoft Clarity exists on the site but is not configured, so none of it loads and none of it collects anything. If that changes, this policy will be updated before those services are switched on.

Email, and your consent

We send commercial email only to people who asked for it, in line with Canada's Anti-Spam Legislation. Every commercial message identifies Melstream HR Inc, gives a way to contact us, and carries an unsubscribe link. You can withdraw consent at any time, either through that link or by writing to hello@melstreamhr.ca.

How long we keep it

We keep enquiry and customer records only for as long as we need them to serve you and to meet our record-keeping obligations, and then we delete them. If you want yours removed sooner, ask and we will.

Your rights

Under Canadian privacy law you can ask us what personal information we hold about you, ask us to correct it if it's wrong, and ask us to delete it. Write to hello@melstreamhr.ca and we'll respond within 30 days. There's no charge for a reasonable request.

If you're not satisfied with how we've handled your information, you can raise it with the Office of the Privacy Commissioner of Canada.

Security

Access to your information is limited to the people who need it to do the work. Data files on our server are blocked from public access, and the site is served over an encrypted connection. No system is perfect, but if a breach ever created a real risk of significant harm to you, we would notify you and the appropriate authority.

Children

This site sells business services to business owners. It isn't directed at children, and we don't knowingly collect information from anyone under 18.

Changes to this policy

If this policy changes, the date at the top changes with it. Material changes will be flagged on this page.
